New and Ended Roles Process

This is the summary of the process for adding new roles or ending roles of our adult volunteers on our systems which uses the TSA systems and also removes personal information when appropriate to ensure our compliance with GDPR.

1. Agree change of role
Discuss new roles or ending roles with the volunteer
Line manager agrees the changes with the volunteer

2. Add or Close roles
Add to Compass,  and update local OSM
Line manager or their delegate adds or closes roles on Compass . Optionally, they also update or delete information on their local OSM.

3. Appointment Secretary prompted
Compass emails the Appointment Secretary
An automated email is sent overnight.

4. Approval of New roles if appropriate
AAC and DC approval sought
As appropriate, Appointments secretary requests references, and arranges for AAC and DC approval.

5. Local Communication Updated
Circulation list and Directory updated
Appointments secretary updates/deletes the circulation list for DC update and the Christchurch directory.
